Online Resource Cataloging Procedures
for
Electronic Journals

June 1999, revised April 2001

1.    Make a screen print for the title, preferably one that will include a statement of coverage
        and other identifying information such as the ISSN.
2.    Attach the print(s) to an "Online Resource Processing Slip"
3.    Enter the current date and your initials on the processing slip.
4.    Search OCLC by title or ISSN. Look for a "computer file" record. If found, apply constant
        data as appropriate:
        a.    Add an 035 "tickler" field in the format:
                035: : |a (FTS)JSTOR onl-Title of the Journal
        b.    Add an 856 URL linking field in the format:
                856:40: |u http://www.jstor.org/journals/12345678
                Exception: If there is more than one single source for the online full-text, include (in
                a leading subfield |z) the name of the source.  Do this for each 856/source.  E.g.:
                856:40: |z JSTOR: |u http://www.jstor.org/journals/12345678
                856:40: |z Project Muse: |u http://muse.jhu.edu/journals/ped
5.    Reformat the OCLC record once all editing is completed.
6.    Update the record.
7.    Export the record.
8.    Write the OCLC number on the processing slip, and check "exported"
9.    Check beside "OCLC updated"
10.  Close OCLC
11.  If you are overlaying an existing NOTIS record, enter/change the OCLC number in the
        existing record.  Enter/change an 035 field in the format:
            035: : |a 035 (OCoLC)12345678
        Otherwise, go to the next step (#12).
12.  Open WinONI.
13.  Import the record into NOTIS.
14.  Recall the record in NOTIS.
15.  Complete editing of the record:
        a.    Change the 130 field to a 730 field, if necessary to improve index screen display.
        b.    Check for/enter a 530 field in the format:
                530: : |a Online version of the print publication.
        d.    Check for/enter 538 fields in the formats:
                538: : |a Method of access: World Wide Web.
                538: : |a System requirements: Internet connectivity; Web browser software.
        e.    Check for/enter a 776 field in the format:
                776:1 : |t Journal title |x 1234-5678 |w (DLC) 12345678 |w (OCoLC)12345678
16.  On the copy holdings screen,
        a.    Change the "a" under STATUS to "h"
        b.    Change "2I" to "2X" and see that a call number has loaded in the copy statement.
                If not, seek one from another record for the title (either print or online) and copy it
                into the copy statement.
        c.    In the NOTES area of the copy statement, enter the coded notes: |a rest (if the title
                is restricted to access by USF students, faculty & staff) and |a prox (if proxy setup
                is required for remote access)  These will display in LUIS/WebLUIS as:
                    Online access restricted to USF students, faculty & staff
                    Commercial ISP? see: www.lib.usf.edu/virtual/help/proxy.html
        d.    If the title is also available in print or as a CD-ROM, enter the coded note "aaof" in
               the NOTES area of the copy statement. This will display in LUIS/WebLUIS as:
                    ALSO AVAILABLE IN OTHER FORMATS-SEE RESULTS LIST.
               Otherwise enter nothing.
17.  Create a new volume holdings record (MHLD) using the command "chld"
        a.    Enter a "4" under encoding level.
        b.    Cut the 035 "tickler" field from the bibliographic record and paste it into the MHLD.
        c.    Enter holdings data according to the coverage indicated on the printout.
18.  Perform a Clarr verification on the bibliographic record. Correct entries, and tags as
        indicated.
19.  If the resource is available in print or other formats, go to the NOTIS record(s) for those
        versions and add the following:
        a.    In the NOTES area of the copy statement, enter the coded note "aaft". This will
               display in LUIS/WebLUIS as:
                    THIS TITLE AVAILABLE IN AN ONLINE VERSION-SEE LINKS
        b.    Also, in the NOTES area of the copy statement, enter the coded notes: |a rest (if
                the title is restricted to access by USF students, faculty & staff) and |a prox (if
                proxy setup is required for remote access)  These will display in LUIS/WebLUIS as:
                    Online access restricted to USF students, faculty & staff
                    Commercial ISP? see: www.lib.usf.edu/virtual/help/proxy.html
        c.    In the MHLD, enter an 035 "tickler" field in the format:
                    035: : |a (FTS)JSTOR prnt-Title of the Journal
        d.    In the bibliographic record, enter the following:
                    1.    A 530 field, in the format:
                            530: : |a Online version available in the JSTOR full-text journal collection.
                    2.    An 856 field in the format:
                            856:41: |u http://www.jstor.org/journals/12345678
                            Exception: If there is more than one single source for the online full-text,
                            include (in a leading subfield |z) the name of the source.  Do this for each
                            856/source.  E.g.:
                                856:41: |z JSTOR: |u http://www.jstor.org/journals/12345678
                                856:41: |z Project Muse: |u http://muse.jhu.edu/journals/ped
20.  Repeat step #19 with print and other versions in the SF, SA, and SD processing units.
21.  If similar changes are required in the SM processing unit, send a message to the
       cataloger at Health Sciences to make these changes or additions.
