Cataloging and Access Guidelines
for Electronic Resources
Part 1: SUS Digitization
Projects

Purpose: To guide description of resources resulting from SUS
digitization projects and to
facilitate their access through WebLUIS for patrons at SUS institutions as well as for the
general public.
These guidelines are intended to ensure uniformity
in descriptive cataloging and facilitate
access to the digitized
resources. Catalog records for these resources are being created in
a separate processing unit (called
LTQF). It will be possible to have these records retrieved
with searches in the individual
institution group catalogs, but this is an option that will
be up to the individual
institutions. In general, catalogers should apply the most current
AACR2r rules for description, OCLC
bibliographic formats and standards tagging, and Library
of Congress subject headings and practices as
appropriate for the item. Some helpful Internet
websites are included
at the end of this document.
It is anticipated by the CAGER Committee
that these guidelines will require future adjustment
and refinement as needs change and additional
programming considerations are determined.
The application of some
MARC fields may change, along with the addition and/or
deletion of others. The
guidelines follow the Library of Congress Rule
Interpretation
1.11A which contains the following definition
of a reproduction.
" A
reproduction is a manifestation that replicates an item or a group of items or
another
manifestation
(e.g., a reprint with no changes) and that is intended to function as a
substitute. The reproduction may be in a different physical format from
the original.
Reproduction is
a mechanical rather than an intellectual process. The physical
characteristics
of the reproduction such as color, image resolution, sound fidelity, are
influenced by the
particular mechanical process used to create it, and therefore may
differ from
those of the original. Reproductions are usually made for such reasons as
the original's
limited availability, remote location, poor condition, high cost, or restricted
utility."
It is the opinion of the Committee
that the products of the SUS digitization projects fit this
definition, and therefore warrant
description according to the draft LCRI.
While use of a single record to represent
both print and electronic versions of a work has
much to recommend it in the context of a single
OPAC, it is less applicable in the context of a
shared database such as LTQF. Therefore,
the records in LTQF will represent the electronic
versions only, and should not be viewed as examples of the
"single record method". The
Committee recommends the use of current rules
for cataloging Internet resources to create
records for electronic reproductions.
Much effort can be saved by modifying the catalog
record for the original print item into a new
record that describes the electronic version.
Details of these modifications follow in
specific field recommendations. The Task Force
also recommends that newly created records for
electronic versions be uploaded into
OCLC, making the cataloging record available to
other institutions, andannouncing the
availability of the resource to the rest of the library community.
The records for the print versions that will
remain in the separate institutions catalogs will not
need to fully describe the electronic versions
since the records in the the shared processing
unit (LTQF) can be retrieved in searches in
individual institution groups to provide that
information. They should be updated to reflect
the digitization activity and the electronic
location and access.
When considered apart from the LTQF records, these separate
institutional records represent the
"single record method" for cataloging print and electronic
versions together.
The fields listed below provide direction to
the cataloger for modifying the bibliographic
record for the print version into a record
describing the electronic version. Some fields
from the print version record (such as class
number) should be retained in electronic
version. Others (such as OCLC number,
cataloging source, etc.) MUST be deleted.
It is the recommendation of this Task Force
that catalogers from the institution owning
the original item that was digitized be
responsible for modifying the print version record
and entering it into the LTQF processing unit
and into OCLC. FCLA will add the URL
and some other fields to the bibliographic
record once it has been made available for use.
The earliest practical use of catalog
records for these materials is to communicate which
materials have been selected by the
participating libraries. This is done by entering a brief,
preliminary record for the item in LTQF with an
035 "tickler" field that includes a code for the
project, the stage
of completion, the institution and the date. Records for items that have
been selected can be seen by searching, in
technical mode, with proper authorization: ltrf bro
no=<project code>; or, in
WebLUIS-SUS using the command search: no=<project code>.
Optionally, a similar field (035: :
(SNX)<project code>.... ) can be added to the print version
record to document and monitor project activity
in the local catalog and for easy retrieval to
add the Internet location and access when it
becomes available. Since the bibliographic
record will be the primary retrieval device for
any item in a digitized collection, it is vital that a
"rough" record (perhaps a derived
copy of the print version cataloging) be entered into LTQF
as soon as a title is selected by an
institution for digitization. Likewise it is important that final
revision of the cataloging be completed as soon
as possible after the electronic version is
available for examination. Maintenance of
the 035 "tickler" fields will facilitate monitoring the
progress of a items from selection to
completion. See section on System control numbers
"tickler
fields" for specifics on formulating these fields.
To facilitate access to these resources, the
bibliographic records for the individual items in
some projects will contain fields extracted from
a historical timeline.
These can be used as a
means of recommending titles to public
school teachers for use in educational curricula.
The bibliographic records will also contain
specialized forms of 521 fields (target audience
notes) to assist teachers in finding and
identifying resources appropriate to support
classroom objectives at specific grade
levels. These were developed in accordance with
the Sunshine State Standards for
educational curriculum materials.
As digitization projects have progressed,
serials and multi-volume monographs have been
included in materials for scanning and
preservation. The committees current recommenda-
tion for recording volume and date information
of included issues is to enter the data in the
533 |m subfield, inserted between the |a and |b
subfields. When a situation arises in which
multiple institutions have contributed
digitized images of complementary issues, multiple
533 fields should be entered, each with the
name of the contributing institution and an
itemization of the issues contributed.
In some cases, individual MARC records for
each item in a large collection may be deemed
too labor intensive, e.g. the Goza Newspaper
Collection. In such instances, a collection level
MARC record may be created with a link to a
webpage that indexes the individual items in
the collection, and then links to the
electronic texts.

Physical characteristics of an item.

GMD = category of material (only valid value is "c" for computer

SMD = specific material designation (use value "r" for remote access

O/R = original vs. reproduction aspect. Obsolete, do not use.
COLOR = color characteristics of the file.
a=one color. A single color, other than black. Usually for
monochrome
display devices.
b=black & white
c=multicolored. More than one color. Usually for color photographic
processes.
g=grey scale. Degrees of dark to light from black to gray to white.
m=mixed. Combinations of one color, black-and-white, multicolored,
and/or other images. (Values a, c, g, etc.)
n=not applicable. Does not involve anything visual (e.g., digitally
encoded audio data)
u=unknown. Color characteristics are unknown.
z=other. None of the other codes are appropriate.
DIM = dimensions of the medium (for remote access files, correct value is

Availability on the Internet Another type of 035 tickler that you may
encounter is
one that FCLA will enter for any full-text that

records have been entered into OCLC. By
adding characters 24-28, those that
have not been entered in OCLC will always
"float" to the top of the index screen.
This way records that were
"overlooked" for entry into OCLC will be obvious.
